Sample Workflows: Unregistered Users
We’ve put together some workflows for you to try so you can see how unregistered users can participate in workflows.
Each workflow demonstrates one or two key features. Select the sample workflow and follow the instructions.
All entries will be deleted automatically after 30 days.
IMPORTANT: Email Addresses
These workflows will send links to your email address so please ensure that you enter the correct email address otherwise you will NOT be able to use the demo because you won’t receive the link.
A Simple Approval & Review Process: Unregistered Users. 🔗

This workflow demonstrates how an unregistered visitor can edit their form submission and then approve it. The assignee email will contain a secure link to the entry.
Instructions
- If you previously logged in, make sure you log out.
- Submit the form
- Find the assignee email in your email. Click on the link to the entry.
- Edit the values and submit your changes.
- Hit the “Revert” button to send the entry back to the User Input step.
- Submit your changes again.
- Approve or reject the entry.

The Form Submission Step – Unregistered Users. 🔗

This workflow demonstrates how the Form Submission step, one of the steps in the Form Connector extension, can be used to link forms together with the values from the first form being passed to the next.
Instructions
- Submit the first form
- The confirmation page will display the link to the second form.
- Notice how the second form contains the field values from the first form.
Drip Email Sequence – Unregistered Users. 🔗

This workflow demonstrates how Gravity Flow can be used to send scheduled emails to “drip” content for example for email marketing or customer onboarding.
Instructions
- Submit the form
- The first email will be sent within a few minutes.
- The next email will be sent after about 30 mins. If you don’t want to receive the third email you can click on the one-click cancel link in the email to cancel the workflow.
- The third and last email will be sent about 30 minutes after the second email.

Abandoned Cart Email Sequence – Unregistered Users. 🔗

This workflow demonstrates how Gravity Flow can be used in conjunction with the Gravity Forms Partial Entries Add-On to send a sequence of abandoned cart emails.
Instructions
- Open the form
- Add your email address and a complete a couple of fields but don’t submit the form. Leave the form open for at least 30 seconds to allow the partial entry to be created.
- The first email will be sent within about 30 minutes with a link to resume the form.
- If you don’t submit the form, the next email will be sent after about another 30 minutes.
- Again, if you don’t submit the form, the third and last email will be sent about 30 minutes after the second email.
- If you don’t submit the form within 24 hours the workflow will end and the resume link will no longer work.

Sample Workflows: Registered Users
The following workflows demonstrate how registered users can participate in workflows. You’ll need to create an account but of course, you’ll use Gravity Flow for the account approval and creation process
Like the previous section, each workflow demonstrates one or two key features. Select the sample workflow and follow the instructions.
All entries and inactive user accounts will be deleted automatically after 30 days.
Approve Your Own Account Creation Request. 🔗

This sample workflow demonstrates how Gravity Flow can be used to set up an approval process for account registration. You’ll approve your own account with a one-click approval link directly from your email.
Instructions
- Submit the registration form.
- Check your email and approve the request by clicking on the one-click approval link.
- Log in with the credentials sent to you by email.
- Check the status of your entry on the status page.
A Simple Approval & Review Process: Registered Users. 🔗

This workflow demonstrates how a registered user can edit their form submission and then approve it. Check the status of your entry on the status page both during the workflow and after the workflow is complete.
Instructions
- Create an account or log in.
- Submit the request form while logged in.
- Open the entry from your inbox of pending tasks.
- Submit your changes.
- Approve or reject to complete the workflow. Revert to send the workflow back to the User Input step.
- Check your submitted entry on the status page.

Display a Series of Forms to be submitted using a Checklist. 🔗

This workflow demonstrates how the Checklists extension displays the forms that each user needs to complete.
Further details in the documentation.
Instructions
- Create an account or log in.
- Select a checklist to complete while logged in.
- Submit all the forms in the checklist.
- View each of your submitted entries in the checklist.
- Notice that “Checklist 2 – Form 1” has an approval step which is assigned to you. You’ll need to approve it before the next form in the sequence can be completed. This behaviour is configurable in the settings.

Group Entries with Folders. 🔗

This workflow demonstrates how the Folders extension can be used to group entries according to rules that you set up in your workflow and share them between all users in a role. Further details in the documentation.
Instructions
Note that all entries submitted will be visible to all users on this site so don’t submit anything private or sensitive.
All entries for this form will be deleted automatically after about 24 hours.
- Create an account or log in.
- Submit the Folders Demo form while logged in.
- View each of your submitted entries in the folder you selected.
Connect Child Entries to a Parent Entry with Parent-Child Forms. 🔗

This workflow demonstrates how the Parent-Child Forms extension can be used to connect child entries to a parent entry.
Further details in the documentation.
Instructions
This is the most basic configuration but there are options for changing the behaviour. For example, parent forms can have multiple child forms. It’s also possible to configure the child form to open in a page instead of a modal popup. It’s also possible to combine with the Form Submission step to pass values from the parent form to the child form.
- Create an account or log in.
- Submit the Parent Form while logged in.
- The form confirmation will contain a link to the entry so you can add child entries.
